How important is layout in the design of your publications?

In English, we read from the top left of a page to the bottom right.  Layout of your pages should keep this in mind and present the information just as the reader expects.  Making elements big or bold can interrupt the usual flow causing the reader to re-track.  But, there are a few tricks to keep the reader engaged.

Adding color can redirect the reader’s eye.  Using a grid can provide rhythm to the information which also prevents elements from competing for attention. Grids also allow you to present a lot of information without it being overwhelming, but adding breaks to the grid can add visual interest.

Styles of typography, color and layout usage have historical ties that cannot be ignored.  Lawyers, doctors and accountants usually want to show a sense of steadiness and conservatism such as with centered layouts reading top to bottom.  A similar layout will not work as well for a Rock band.

Design is also limited to the assets given.  Images should be high quality rather than clip art.  Copy writing should be effective with succinct, easy-to-read and appropriate tone of voice.

Email Hacks Improve Productivity

The daily workload rarely gets finished, especially when our inbox is always full.

Email management is a time consuming chore and often quite boring. However, it remains a useful tool for communication. All that you can do is manage the inbox and continue on to the day’s productivity.

There are a few tools available that come in handy to make your email management simpler.

RESTRICT

1. Schedule specific times to read email. Add-ons are available like Leech Block and Stay Focused to restrict your access to email to certain times of the day.

2. Work within time limits. Limit the time attending emails. Add-ons like Time Warp are very helpful.

3. Unsubscribe. If you never read those subscription newsletters, just unsubscribe to clear the clutter.

4. Send short replies. Get to the point within two or three lines to save lots of time.

5. Take time to respond. Cover the points raised and avoid getting caught in a chain of received and sent emails.

6. Avoid sending unneccesary emails. Conversations should not be made through email.

7. Clear your inbox daily. Priortize and reply to the ones that matter.  Archive or delete the rest.

8. Recycle your responses. This can save a few minutes each day.

9. Use auto-respond. Customized automatic responses will relieve unnecessary pressure.

10. Sort into folders. Three main categories are those that require no action, those that require response and those that require response and action. Filters are useful to sort by content, subject, and sender.

11. Track sent emails. This notification is helpful to prioritize prospecting.

12. Automate follow up. Avoid forgetting important projects with tools like followup.cc.

13. Integrate with other software. Tools like Zapier or Evernote can help track project related emails.

14. Outsource. Hire a virtual assistant to attend your emails and you can focus on other important tasks.

15. Use alternate communication tools.  Substitute using email with apps like WhatsApp or Slack to streamline communications and elicit faster responses.

Email may be an important tool, it should not take over your day. It’s perfectly okay to embrace more efficient forms of communication. You could cut off email completely and still not be left out of the loop.
